Project Scope

Amidst the merger, the client needed to migrate from one SharePoint Online tenant to another while ensuring a seamless transition of users and permissions. The goal was to keep user IDs and passwords unchanged and maintain the integrity of the content. Additionally, the project required the creation of an intranet Homepage for marketing communications to internal users.

Challenges

During the merger of two companies, SharePoint migration presents unique challenges that require careful management to ensure a seamless transition. The consolidation involves handling large volumes of data, a task that demands meticulous planning to maintain data integrity and prevent loss or corruption.

Additionally, compatibility issues are a significant concern, as differences between SharePoint versions can lead to functionality gaps, especially with customized features that may not be supported in the new environment. Security is another critical aspect; it is essential to preserve user access controls and security settings to protect sensitive information and comply with regulatory standards.

The integration of third-party tools and solutions, often used in enterprise settings, must also be managed to ensure they function correctly in the updated system.

Lastly, the human element—training and user adoption—plays a crucial role. Employees from both companies must be trained on the new system to minimize disruption and enhance user engagement. Addressing these challenges effectively will require a strategic approach, combining rigorous testing, expert assistance, and clear communication across the merged entity.

Calance Solution

Calance executed a flawless content migration between environments, ensuring no disruption to user access and maintaining all permissions.

The migration encountered fewer than five minor issues, primarily related to page layouts, which were swiftly resolved within hours of identification.

Subsequently, Calance collaborated with the client's Marketing Department to design and develop an engaging intranet Homepage. This page not only facilitated effective internal communication post-merger but also became a staple tool for nearly 3,000 employees across multiple states, used for updates and general communications.

Results

The intranet Homepage remains active and integral to the bank's operations. Calance has continued its partnership with the Marketing Department, developing content and redesigning the Homepage to accommodate new departmental pages and updates, consistently over a year following the initial migration.

“Calance did a great job with migrating our SharePoint online site. You stayed on schedule and the go-live went without any hitches. Thanks for always being responsive and getting things done promptly.”
